Import Domains

Import existing domains to Mailpool to create mailboxes on them

If you already own domains that you want to use for your cold email infrastructure, you can import them into Mailpool and create mailboxes on them.

This guide will cover the generic domain import process in Mailpool. However, please note that you will need to perform some technical setup on your domain provider (e.g., GoDaddy, Namecheap).


Transfer Existing Domains to Mailpool

Warning: Transferring a domain to Mailpool will delete all existing DNS records and mailboxes tied to that domain.

  1. From the Mailpool dashboard, click on the "Domains" tab in the left sidebar menu.

  2. Click the "Transfer Domains" button.

  3. In the pop-up window, carefully read the instructions and list the domains you'd like to import into Mailpool.

    • To add a domain to the list, click "Add Domain".

    • To validate the list, click "Initiate Transfer".

You will then be shown Nameserver records, which must be added to your domain’s DNS settings in your current domain provider’s tool.


Edit Nameserver Records in Your Domain Provider

To successfully transfer your domain to Mailpool, you must add two custom nameservers that allow us to set up your domain for cold email outreach.

The process for adding these Nameservers varies by provider, but we have detailed the steps for the most common ones (e.g., GoDaddy, Namecheap, Ionos).


Finalize Domain Transfer

Once you have updated the nameservers in your domain provider’s settings, you’ll need to finalize the transfer process in Mailpool.

  1. Inside the transfer pop-up, tick the box next to "I have set nameservers for each of my domains."

  2. Click "Close" to confirm.

Your transferred domain(s) will then appear in your Mailpool domain dashboard with the transfer in progress.

The process typically completes within a few minutes but may take up to 72 hours due to DNS propagation delays.


Tracking Transfer Progress

You can track the import status from your Mailpool domain dashboard.

  1. From the Mailpool dashboard, click on the "Domains" tab in the left sidebar menu.

  2. Locate the domain you are importing and check its status:

    • Pending: The domain is being transferred but is not available yet.

    • Active: The domain has been successfully transferred, and you can start using it.

    • Inactive: The domain transfer failed at some point.
